Upper School Director

Brentwood School, a vibrant and diverse K-12 Independent school, is looking for an Administrative Assistant to the Upper School Director to support the Director in maintaining the routine functions of the academic day and school year and to organize faculty commitments and responsibilities as necessary. In addition, the Administrative Assistant assists the Director with special activities, some of which involve attendance at evening events. The Administrative Assistant must exercise excellent judgment and communication skills to deal with a broad spectrum of people, including faculty, staff, administration, students, and parents/guardians. This position handles sensitive and confidential information regularly, so diplomacy, tact, and discretion are essential skills.

Responsibilities include, but are not limited to:

  • Corresponding with faculty and administration
  • Managing the Upper School Director’s calendar
  • Taking notes and summarizing discussions at various meetings
  • Managing/maintaining the Upper School Director’s budget
  • Organizing and mailing correspondence to families
  • Track Upper School faculty and staff time off requests and help department chairs coordinate substitutes
  • Scheduling classrooms and teachers for exams or other special schedules
  • Assisting the Upper School Director with the divisional calendar and manage the online updates
  • Ordering faculty supplies
  • Assisting the Registrar and other support staff, as needed
  • Monitoring calls
  • Assisting the Upper School Director with special activities, ceremonies, presentations, and events
  • Preparing and circulating the weekly schedule and bulletin while updating the internal displays
  • Collecting and distributing daily and weekly student reports
  • Other duties as determined by the Upper School Director

Qualifications:

  • At least 3 years work experience in an administrative support role
  • Excellent proofreading skills
  • Strong organizational skills and the ability to juggle multiple projects simultaneously
  • Well-developed communication and interpersonal skills to establish and maintain effective working relationships
  • Ability to handle confidential matters
  • Ability to work independently and follow through on assignments with minimal direction
  • Skill in managing a complex calendar
  • Strong collaboration skills and cross-cultural competency
  • An interest in and openness to professional growth and development
  • Commitment to diversity and inclusion
