Administrative Assistant to Assistant Head of School

Brentwood School, a vibrant and diverse K-12 independent school, is seeking an Administrative Assistant to the Assistant Head of School. Under the supervision of the Assistant Head of School (AHS), the Assistant to the AHS functions as the executive assistant to the AHS, providing professional expertise to support her areas of responsibility: Constituent Relations, Fundraising, Communications, Major Events, Governance, and VA Community Partnership. Under the general direction of the AHS, the Assistant to AHS also supports the Director of Annual Fund and the Director of Major Gifts in their fund development roles. They must exercise excellent judgment and communication skills to deal with a broad spectrum of people, including senior administrators, faculty, staff, students, donors, trustees, volunteers, Veterans, VA representatives, and the general public. This position handles sensitive and confidential information regularly, so diplomacy, tact, and discretion are essential skills.  Significant skill (and interest) in data management and analysis is a must. Experience in Blackbaud NXT, Core, and/or Raisers Edge is preferred, and Education Edge is a plus.

Duties & Responsibilities including, but not limited to:


  • Coordinates calendar and logistics for the AHS
  • Provides expert administrative assistance to the AHS including correspondence, invoices, reports, presentations, and filing
  • Supports tracking and logistics for major events (i.e., Hudson Lecture, 50th Anniversary, etc.)
  • Takes, prepares, and distributes notes at staff meetings
  • Partners with Advancement Coordinator and Alumni Engagement Associate to manage all mailings for the Advancement Office, including stuffing and labeling
  • Inventories and orders all office supplies, including stationary, needed to support advancement efforts
  • Oversees office space and equipment and maintains the tidiness of the common area and storage spaces
  • Assists with other advancement functions as requested by AHS, including occasional evening and weekend events.
  • Other duties as assigned by AHS or Senior Administrative Team

Fundraising Support

  • Supports the Director of Major Gifts and Director of Annual Fund in tracking and reporting on status of fundraising goals
  • Handles routine requests from staff and volunteers working on major gifts and annual fund
  • Works with AHS, Director of Major Gifts, and Director of Annual Fund to schedule fundraising meetings and events, manages RSVPs, and prepares materials as needed
  • Produces proposals and prepares briefing packets for use by volunteers and staff, conducting research as needed 
  • Assists with reminders, reporting, and volunteer management as requested by AHS
  • Organizes and oversees all prospect research

Raisers Edge

  • Partners with Director of Major Gifts, Director of Annual Fund, Advancement Coordinator, and Constituent Database Manager to facilitate processing of pledge documents and payments
  • Daily data entry as related to major gifts and annual fund
  • Works with the Advancement Coordinator, Constituent Database Manager, and the Alumni Engagement Associate to create comprehensive constituent management system using all Blackbaud products

Skills and Qualifications:

  • Bachelor's Degree or at least 5 years work experience in an administrative support role, preferably at the executive level
  • Fluent in Google Suite, MS Word, Excel, and PowerPoint
  • Experience using data management to fulfill job responsibilities, Blackbaud Raisers Edge NXT preferred
  • Ability to conduct sensitive research and maintain complete confidentiality.  Experience with Wealth Engine or other data mining tools a plus
  • Articulate in oral and written communication with excellent proofreading and organizational skills
  • Talent maintaining calm under pressure, while managing simultaneous projects and deadlines with flexibility and adaptability
  • Well-developed interpersonal skills to establish and maintain effective working relationships and interact with individuals from a range of backgrounds
  • Ability to work independently and follow through on assignments with minimal direction
  • Skill in managing a complex calendar, prioritizing well, and resolving conflicts    
  • Patience, polish, professionalism, and passion
